Responsibilities

The primary purpose of this position is to act as the facility’s concierge and be the primary access point for visitors, guests, etc.  Duties span from answering phones, to providing clerical assistance, managing office equipment/supplies and assisting with the inquiry and admissions processes.

  • Performing clerical duties as the facility concierge in a professional manner. This includes:
    • Greeting and assisting visitors, residents, family members, sales representatives, etc. and giving directions/information as needed.
    • Receiving and directing incoming telephone calls when needed, taking messages and ensuring messages are delivered in a timely manner.
    • Operating telephone/paging system as required.
    • Sorting mail including newspapers and special deliveries.
    • Forwarding resident mail to resident’s family or responsible party as required.
    • Operating copiers, office machines, etc. copying and faxing as needed.
    • Keeping front entrance and lobby area neat, clean and free of clutter including making sure deliveries made are picked up promptly by addressee; and setting up hospitality station each morning and breaking down at end of shift.
    • Assisting in listening to resident or family complaints and reporting them to the appropriate/responsible department manager.
    • Receiving and following concierge schedules/instructions from AL Director and according to established policies and procedures.
    • Attending in-service educational classes, training programs, workshops, seminars, etc. as approved.
    • Maintaining the confidentiality of all residents and their care to ensure resident rights, privacy and property are protected at all times.
    • Reporting and documenting resident and/or visitor incidents, accidents, complaints, or allegations according to the facility’s policy and procedure using the designated occurrence reporting system.
    • Reporting any suspicious person and/or information to supervisors immediately.
  • Assisting with administrative duties as directed by the AL Clinical Manager. This includes:
    • Completing and posting the daily staffing form.
    • Transcribing nursing staff assignments from the monthly schedule to the daily schedules.
    • Assisting clinical manager with coordinating staff coverage when needed, including making changes to the daily schedules when applicable.
    • Coordinating care conference meetings for residents and families by sending invitations and scheduling with the clinical manager.
    • Gathering information needed for packets according to medical appointment calendar.
  • Assisting in maintaining the electronic and existing paper records, that includes:
    • Taking photographs of all residents and new admissions for medical identification.
    • Scanning necessary documents into the medical record.
    • Completing a double check that the scanned information belongs to the resident.
    • Thinning of paper records when paper records exist.
  • Maintaining the overall organization of the nursing unit stations, that includes:
    • Answering phones, including taking messages and ensuring they are given to the proper staff member.
    • Checking the fax machines for documents received and getting them to the proper staff member.
    • Coordinating appointments for residents with transportation.
    • Making additions to the CNA assignment sheets and on occasion making changes to unit schedules as required (such as charting schedules, shower schedules, service assignments, etc.).
    • Maintaining adequate supply of nursing forms/supplies at nurse stations or supply rooms.
    • Maintaining documents that are necessary for the facility nurses to have on hand.
  • Assisting with employee, public relations and community initiatives. This includes:
    • Assisting with developing plans to build staff morale such as employee celebrations, carry ins, birthdays, games, trivia and etc.
    • Assisting with resident meal service in dining rooms.
    • Providing transportation in facility bus for resident outings/reservations when needed.
  • Assisting with the facility’s inquiry and admissions process. This includes:
    • Providing tours of the facility for families/potential residents and assuring admission information and quality tours are available 24 hours per day, 7 days per week.
    • Assisting in the orientation of residents and explaining to resident/guardian the room rates, billing procedures, visitors/guest privileges, restrictions, resident care procedures, etc. as appropriate.
  • Performing other duties as assigned by the AL Director.
  • Complying with safety requirements, infection control measures, and maintaining a clean work environment in accordance with facility policy as indicated by:
    • Ensuring that work/assignment area is clean and records, files, etc., are properly stored before leaving such area on breaks, end of work day, etc.
    • Abiding by all emergency protocols for crash carts, resident codes, fire safety, missing residents, tornado preparation, violent residents, Wander guard alarms, door alarms, and other facility policies as assigned.
  • Transportation: Transporting residents to/from appointments. 

Qualifications

  • Must possess specific educational and experience requirements such as:
    • A high school diploma or GED.
  • Have a thorough understanding of the principles of best receptionist practices.
  • Must possess interpersonal skills such as:
    • The ability to follow written and verbal instructions, function independently and make independent decisions when circumstances warrant such action.
    • Personal integrity and the ability to deal tactfully with residents, family members, visitors, government agencies and personnel.
    • The ability to work harmoniously with professional and non-professional personnel.
    • Judgment in prioritizing the performance of tasks, duties, and responsibilities in accordance with established standards, policies and procedures.
